POSITION OVERVIEW
Harbor Health is seeking a Practice Manager to lead the daily operations at our Old East Dallas, Preston Park, and Dallas Internal Medicine Specialist clinic sites. In this role, you will oversee 19 front and back office staff, member experience, scheduling, and clinic workflows, ensuring the site runs smoothly so our clinical teams can focus on delivering member-centered, value-based care. Reporting to the Regional Practice Administrator, you will serve as the on-the-ground operational leader who keeps the practice compliant, efficient, and welcoming for members and staff alike.
POSITION DUTIES & RESPONSIBILITIES
Clinic Operations Leadership
Own the day-to-day operations of the clinic, including scheduling, patient/member flow, staffing coverage, and opening/closing procedures.
Monitor clinic KPIs such as visit volume, no-show rates, and appointment cycle time, and drive process improvements to address gaps.
Manage clinic supplies, vendor relationships, and facilities issues to keep the site fully operational.
Staff Management & Development
Hire, train, supervise, and evaluate front office and clinical support staff, including medical assistants, front desk, and referral coordinators.
Set clear performance expectations, provide coaching, and build a culture of accountability and teamwork among clinic staff.
Member Experience
Ensure timely, member-centered service throughout the member journey, from check-in to checkout.
Resolve escalated member concerns and complaints, partnering with Member Services and Clinical leadership as needed.
Monitor member satisfaction metrics and lead site-level initiatives to improve the member experience.
Compliance & Quality
Ensure the clinic complies with HIPAA, OSHA, and Harbor Health policies and procedures.
Support clinical teams in closing HEDIS and other quality measure gaps that contribute to CMS Star Ratings performance.
Champion consistent, accurate use of Athena for scheduling, documentation, and billing workflows.
Cross-Functional Partnership
Serve as the clinic's primary liaison to Providers, Clinical leadership, Central Operations, Revenue Cycle/Billing, Compliance, and HR.
Escalate operational risks or resource needs to regional/market leadership in a timely manner.
DESIRED PROFESSIONAL SKILLS & EXPERIENCE
Bachelor's degree in healthcare administration, business, or related field preferred; equivalent experience considered.
3+ years of experience managing a medical practice, clinic, or ambulatory care site, ideally within a value-based care or payvider environment.
Experience with EHR and practice management systems required; familiarity with Athena strongly preferred.
Demonstrated success supervising and developing front- and back-office clinical support staff.
Working knowledge of HIPAA, healthcare compliance requirements, and quality frameworks such as HEDIS and CMS Star Ratings preferred.
Strong problem-solving and organizational skills, with the ability to manage competing priorities in a fast-paced clinic setting.
Excellent interpersonal and communication skills, with a genuine member-service orientation.
