Talent Acquisition Specialist
Harbor Health
People & HR
Austin, TX, USA
About This Role
Harbor Health is looking for a motivated and detail-oriented Talent Acquisition Specialist to join our growing People team. In this role, you will own full-cycle recruiting for clinical support positions across our Texas markets — including Medical Assistants, Patient Reception Specialists, and Clinical Lead CMAs — while also lending support to select corporate and health plan hiring. You will be a trusted recruiting partner to hiring managers at our Austin, San Antonio, Dallas, El Paso, and remote locations, helping us build the high-quality clinical teams that power our integrated care model.
Key Responsibilities
Clinical Support Recruiting
- Manage full-cycle recruiting for Medical Assistant, Patient Reception Specialist, Clinical Lead roles across Austin, San Antonio, Dallas, and El Paso markets
- Manage full-cycle recruiting for any other corporate positions needed across all markets including remote positions
- Partner closely with clinic managers and operations leaders on headcount planning, role requirements, and candidate profiles
- Source proactively through job boards, community partnerships, local healthcare networks, and referral programs to build robust candidate pipelines
- Conduct phone screens and structured interviews, evaluating candidates for competency, patient-facing skills, and culture alignment
- Coordinate and facilitate the interview process end-to-end, including scheduling, feedback collection, and offer preparation
- Maintain accurate and timely records in UKG, ensuring data integrity across all active requisitions
AI-Assisted & Modern Recruiting Practices
- Use AI writing tools (e.g., Claude) to draft and refine job postings, outreach messages, interview questions, and offer language — while maintaining authenticity and Harbor Health's voice
- Leverage AI-powered sourcing tools and LinkedIn Recruiter features to identify passive candidates more efficiently and build targeted talent pipelines
- Use automation and workflow tools (e.g., ATS workflows, scheduling integrations, email sequences) to reduce manual lift and improve candidate responsiveness
- Apply a data-informed mindset to recruiting: track pipeline metrics, time-to-fill, source effectiveness, and offer acceptance rates, using that data to continuously improve
Corporate & Health Plan Support
- Assist with recruiting efforts for select operational and health plan support roles as needed, including administrative and coordinator-level positions
- Support the Senior Talent Acquisition Partners on sourcing, screening, and scheduling for corporate openings during high-volume periods
- Draft compelling job postings and LinkedIn outreach messages tailored to specific candidate audiences
- Contribute to compensation benchmarking discussions and help prepare offer letter documentation in alignment with established pay scales
General Talent Acquisition
- Provide an exceptional candidate experience at every stage of the hiring process, from first contact through onboarding handoff
- Participate in career fairs, community events, and healthcare workforce programs to build Harbor Health's employer brand as needed
- Support hiring manager intake conversations to align on role expectations, timelines, and evaluation criteria
- Identify opportunities to improve recruiting processes and contribute to TA team initiatives
Qualifications
Required
- 2+ years of full-cycle recruiting experience, with demonstrated success filling clinical support or healthcare roles
- Background in healthcare, medical group, or health plan environments strongly preferred
- Experience using an ATS to manage requisitions and candidate pipelines (UKG or similar)
- Comfort using AI tools in day-to-day work — whether for drafting communications, researching candidates, or improving efficiency — with good judgment about when and how to apply them
- Strong interpersonal and communication skills with the ability to build trust with both candidates and hiring managers
- Highly organized with the ability to manage multiple requisitions simultaneously across multiple locations
- Proficiency with LinkedIn Recruiter and other sourcing tools
Preferred
- Experience recruiting in a multi-site or multi-market environment
- Exposure to both clinical and corporate/health plan recruiting
- Hands-on experience with AI sourcing tools, recruitment automation platforms, or CRM/ATS integrations
- Familiarity with data reporting tools (e.g., ATS analytics, Excel/Google Sheets, or similar) to track recruiting metrics
- Bachelor's degree in Human Resources, Business, Healthcare Administration, or related field — or equivalent experience
