Position Overview

The Regional Practice Administrator is a senior operational leader responsible for overseeing the day-to-day performance of 8–10 Harbor Health clinic locations across the Austin market. This role serves as the primary operational liaison between clinic-level teams and organizational leadership, ensuring consistency in workflows, member experience, regulatory compliance, and financial performance. The ideal candidate brings a strong background in multi-site ambulatory operations and thrives in a fast-paced, growth-stage healthcare environment.


Position Duties & Responsibilities
Multi-Site Operations
  • Oversee daily operational performance across 8–10 Austin-area clinic locations, ensuring consistency with Harbor Health's standards and protocols
  • Conduct regular site visits to assess clinic performance, staff needs, and member experience quality
  • Identify operational gaps and implement process improvements across the region
  • Serve as escalation point for clinic-level operational issues and coordinate timely resolution
People & Team Leadership
  • Directly or indirectly manage Practice Managers at each clinic site
  • Support hiring, onboarding, and performance management of clinic-level operational staff in partnership with HR
  • Foster a cohesive regional team culture aligned with Harbor Health's mission and values
  • Identify training and development needs; coordinate with HR and clinical leadership to address gaps
Financial & Performance Management
  • Monitor regional financial performance including revenue cycle metrics, budget adherence, and cost management
  • Partner with finance to analyze clinic-level P&L, identify variances, and implement corrective actions
  • Track and report key operational KPIs (e.g., patient throughput, no-show rates, cycle times, member satisfaction)
  • Support coding and billing compliance in partnership with revenue cycle teams
Compliance & Quality
  • Ensure all clinic locations maintain compliance with applicable regulatory standards (HIPAA, OSHA, TDI, CMS, and state/local requirements)
  • Support quality and value-based care initiatives, including HEDIS metric performance and care gap closure across the Austin region
  • Collaborate with clinical and health plan teams to align operations with Harbor Health's payvider model
Systems & Workflow
  • Oversee clinic use of Athena EHR; ensure proper workflows, documentation standards, and staff proficiency
  • Partner with IT and operations teams on system rollouts, upgrades, and workflow optimization
  • Standardize administrative processes across clinic sites to improve efficiency and member experience
Growth & Strategic Initiatives
  • Support new clinic openings, expansions, or transitions within the Austin market
  • Participate in cross-functional initiatives related to Harbor Health's growth and payvider strategy
  • Act as a regional subject matter expert in operational readiness for new programs or service lines

Desired Professional Skills & Experience Required
  • 5+ years of experience in healthcare operations, with at least 2 years in a multi-site or regional leadership role
  • Demonstrated experience managing ambulatory, primary care, or value-based care clinic environments
  • Strong working knowledge of Athena EHR or comparable ambulatory EHR platform
  • Proven ability to lead and develop clinic-level managers and frontline operational staff
  • Solid understanding of healthcare regulatory requirements (HIPAA, OSHA, CMS)
  • Experience with revenue cycle management, including coding, billing, and collections workflows
  • Strong analytical skills with ability to interpret operational and financial data to drive decisions
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Bachelor's degree in Healthcare Administration, Business Administration, or related field
  • Ability to travel regularly across Austin-area clinic locations
Preferred
  • Master's degree (MHA, MBA, or equivalent) strongly preferred
  • Experience in a payvider, ACO, or integrated care delivery model
  • Familiarity with value-based care metrics including HEDIS, Star ratings, and care gap management
  • Prior experience supporting new clinic openings or market expansions
  • Bilingual (English/Spanish) — a strong advantage given the Austin member population served
  • Experience operating within a growth-stage or startup healthcare organization
