About the Role
The Facilities Coordinator is a key member of Wonder’s facilities team, providing both technical operational support and onsite administrative services to ensure facilities remain safe, compliant, and efficient. This role oversees maintenance programs, vendor management, security access, CMMS administration, and includes any other additional tasks assigned.


Key Responsibilities

Facilities Operations & Vendor Management

  • Coordinate vendor onboarding, compliance, insurance documentation, and purchasing.
  • Maintain relationships with contractors to meet service standards and project timelines.
  • Act as the point of contact for landlord/property management issue resolution.
  • Procure approved items for the Facilities (FX) team and manage receipts and purchase logs.

CMMS & Work Order Administration

  • Administer CMMS (Service Channel) for work orders, preventive maintenance, warranties, and repairs.
  • Train stakeholders on CMMS use and ensure timely closure of work orders.
  • Partner with IT on system integrations and enhancements.

Budgeting & Reporting

  • Support tracking of capital budgets and provide reporting to Facilities Leadership.
  • Assist with analysis to ensure projects are executed on time and within budget.

Preventive Maintenance & Compliance

  • Oversee preventive maintenance for mechanical, electrical, and safety systems.
  • Ensure compliance with USDA, FDA, FDNY, DOH, and other regulatory requirements.
  • Maintain centralized compliance records, permits, and inspection documentation.

Security & Access Control

  • Gatekeeper for employee badge issuance, updates, and deactivations across ProdCo sites.
  • Collaborate with People Team to ensure badge activations are tied to HRIS access.
  • Partner with third-party security teams to address safety concerns and ensure compliance.

Project & Task Management

  • Coordinate cross-functional projects and track deliverables through completion.
  • Maintain organized records and databases for all projects and initiatives.

Experience:

  • Experience: 3+ years in facilities coordination, maintenance, production, hospitality, or similar environment.
  • Technical Skills: Proficient with CMMS systems (Service Channel preferred), Microsoft Office Suite; Jira experience a plus.
  • Strengths: Exceptional organization, multitasking, customer service, and vendor management skills.
  • Physical Requirements: Ability to lift up to 25 lbs. and work in both temperature-controlled and chilled environments.
  • Bi/multilingual preferred.
  • Willingness to travel by car/plane to production facilities as required.

Salary: $96,000-$102,000
