Your Role
We are seeking a highly organized, proactive, and resourceful Onsite Administrative Assistant for our South San Francisco office. This individual will ensure day-to-day administrative and facility operations run smoothly and act as a liaison between internal teams and external vendors/service providers, particularly in support to our executive leadership. The ideal candidate will possess exceptional multitasking abilities, strong interpersonal skills, and a keen eye for detail, contributing to the efficiency and success of our organization.

Primary Responsibilities:

  • Provide administrative and office support to staff and the executive team, handling confidential and sensitive information with the utmost discretion and integrity.
  • Manage scheduling needs by coordinating calendars, arranging meetings, booking travel, and responding to ad hoc logistical requests.
  • Respond to general inquiries from internal and external contacts in a professional and timely manner, ensuring issues are addressed or routed appropriately. Act as a primary liaison between executives and internal/external stakeholders.
  • Prepare, proofread, and edit a variety of business documents—including correspondence, reports, and presentations—while maintaining accurate and organized digital and physical records.
  • Ensure the office is well-stocked with supplies, manage inventory, and maintain a clean, organized, and professional workspace.
  • Partner with the HR operations team to facilitate a seamless and welcoming onboarding experience for new hires, and support smooth offboarding processes.
  • Assist with the execution of special projects and strategic initiatives assigned by the leadership team, ensuring timely progress and high-quality outcomes.
  • Plan and execute team-building activities and company events, both onsite and off-site.
  • Introduce new ways to scale operations through automation, and AI agents.
  • Job duties and responsibilities may evolve based on company needs and technological advancements.

Physical Requirements:

  • Subject to extended periods of sitting and/or standing, vision to monitor and moderate noise levels.
  • Work is generally performed in a office environment, and sometimes in lab as needed.
  • Ability to lift and carry up to 40 pounds.
  • Ability to bend, reach, and occasionally climb stairs or ladders.

Position Requirements/Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Proficiency in Google Suite (Mail, Docs, Slides, Forms), Slack, Zoom.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Exceptional communication and interpersonal skills.
  • High level of discretion and professionalism in handling confidential information.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
  • Flexibility and adaptability to changing priorities and demands.
  • Ability to troubleshoot IT issues and provide quick resolutions.
  • Proficient with AI tools, agents and other automations.
  • Early stage biotech company experience is preferred.
  • Experience providing EA support of C-suite preferred.
