Key Responsibilities - Laboratory Management (60%):
- Oversee and rapidly scale laboratory operations, ensuring smooth execution of molecular biology and cell culture activities.
- Lead maintenance scheduling, emergency preparedness, and response protocols across all lab spaces.
- Develop and manage efficient systems for inventory (onsite and warehouse), procurement, equipment maintenance, and vendor relationships.
- Ensure compliance with BSL-2 safety protocols and all relevant CDC, NIH, OSHA, EH&S, and local regulations, including proper PPE usage and best practices.
- Maintain accurate inventories and oversee proper storage, labeling, and disposal of materials, including hazardous waste.
- Oversee waste disposal, BSC certifications, decontamination procedures, and biological incident response (spills, near-misses, etc.)
- Ensure accessibility and upkeep of critical safety infrastructure, including eyewash stations, first aid kits, spill kits, and emergency equipment.
- Create, maintain, and regularly update biosafety manuals, exposure control plans, evacuation procedures, and lockdown protocols.
- Maintain detailed records of training, incidents, and audits; lead onboarding and annual refresher biosafety training for all lab personnel.
- Oversee documentation for MTAs, chain-of-custody logs, and pathogen tracking to ensure regulatory and internal compliance.
- Develop and scale robust lab workflows, SOPs, and tracking systems that support operational excellence.
- Support experimental setup, troubleshooting, and systematic data management for high-performing research teams.
- Demonstrate strong project management skills and lead cross-functional initiatives to enhance lab efficiency and safety.
Key Responsibilities - Office Administration (40%):
- Scale and manage office operations, logistics, scheduling and administrative systems to support rapid organizational growth.
- Manage relationships with building management, office vendors, and service providers.
- Foster a collaborative, inclusive, and well-organized office environment through thoughtful space planning and culture-forward initiatives.
- Oversee onboarding logistics for new hires, including workstation setup, access badges, and welcome materials.
- Help coordinate internal events, company meetings, and onsite team-building activities.
- Ensure compliance with workplace safety policies, including health protocols and emergency procedures.
- Design, build, and scale operational databases and intuitive interfaces using Airtable and related digital tools.
- Develop, automate, and continuously optimize workflows through scripting and user interface development.
- Support internal communications and maintain up-to-date, accessible office policies.
- Provide high-level administrative support, including strategic resource planning, documentation, and meeting coordination.
- Tech-savvy, self-directed, and comfortable managing office tools (Google Workspace, Slack, Zoom) and vendors.
- Collaborate closely with research and operational teams to understand needs, streamline processes, improve organizational efficiency, and drive rapid scaling.
- Handle confidential information with discretion and professionalism.
Qualifications:
- Master’s degree (or BS/BA with equivalent experience) in a relevant biological or technical field strongly preferred; hands-on lab experience may substitute for formal education.
- Previous experience working in a BSL-2 laboratory setting.
- Demonstrated expertise in molecular biology and cell culture environments.
- Knowledge of laboratory safety, EH&S and OSHA regulations, and building systems.
- Strong project management skills and ability to lead cross-functional initiatives.
- Advanced technology skills, including proficiency with Airtable, database design, and digital tool implementation.
- Coding experience (JavaScript, Python, or similar) to rapidly create custom UIs, scripts, and automation workflows.
- Exceptional interpersonal and communication skills with a proactive, hands-on, and can-do attitude for team success.
- Highly organized, detail-oriented, and capable of navigating complex technical challenges.
- Thrives in fast-paced, startup environments; able to work independently and collaboratively.
- Valid driver’s license and access to a personal vehicle.
Physical Requirements:
- Subject to extended periods of sitting and/or standing, vision to monitor and moderate noise levels.
- Work is generally performed in a lab or office environment.
- Ability to lift and carry up to 40 pounds.
- Ability to bend, reach, and occasionally climb stairs or ladders.
- Manual dexterity to safely handle laboratory tools, pipettes, small components, and delicate instruments.
- Comfortable wearing appropriate PPE (e.g., lab coats, gloves, goggles, masks) for extended periods.
- Ability to work safely around chemicals, biological materials, and mechanical equipment.
