The Challenge
The Workplace Coordinator plays a critical role in maintaining a polished, high-functioning, and welcoming workplace environment. This role supports daily operations, events, vendor management, space planning, employee experience, and compliance across the local studio and may also provide remote support to regional sites. The coordinator will act with autonomy within established frameworks, solve a wide range of operational problems, and partner with internal and external stakeholders to ensure a best-in-class experience for employees and guests.
What You’ll Take On
Operational Excellence & Customer Experience
- Provide an excellent customer service experience for all employees and guests and be their first point of contact.
- Serve as the primary point of contact for day-to-day facility upkeep, maintenance, and service requests; own resolution and follow-up to ensure satisfaction.
- Conduct daily floor walks and ensure all office and meeting spaces are functional and reporting issues to maintenance vendors, well-stocked, and meet safety and aesthetic standards.
- Manage hospitality and F&B programs and day to day operations, including vendor relationships, audits, restocking, and budget tracking. Collect and consolidate employee feedback regarding catering services and communicate relevant insights to the vendor for continuous improvement.
- Provide polished, high-touch support for employee onboarding and workplace tours.
- Respond to employee requests via Slack, ticketing tools, and direct communication, ensuring timely and effective resolution.
- Design some workplace announcements using Canva, manage AV screen content updates, and communicate key workplace updates and announcements through Slack and email.
- Maintain and update access permissions for visitors in the Lenel system, manage badge creation, and provide badges accordingly.
- Work closely with global cross-functional teams to align on workplace standards and processes
- Ensure all documents, including contracts, invoices, Health & Safety (H&S) records, and related files, are accurately uploaded and organized in Google Drive.
Facilities & Vendor Coordination
- Source, schedule, and supervise vendors and contractors for maintenance, repairs, and office reconfigurations.
- Manage janitorial, security, planting, catering, and maintenance vendors to ensure delivery against SLAs.
- Assist in project coordination for office moves, space planning, and small-scale renovations.
- Submit and track helpdesk tickets and oversee contractor work, ensuring minimal disruption to business activities.
- Manage all daily operations and communication related to Building Management, including maintenance requests, visitor and vendor access permissions, building access cards, parking registrations, security matters, and Health & Safety (H&S) notifications.
- Collaborate closely with global cross-functional teams to support seamless workplace operations.
- Oversee day-to-day shipping and receiving operations, including domestic and international courier and cargo deliveries, as well as customs processes when necessary.
- Manage contracts and vendor relationships related to workplace services, ensuring timely renewals and compliance.
- Coordinate visits from the workplace doctor and consultant, and manage communications and calendar invites for relevant employees.
Events & Engagement
- Lead logistics for in-office and offsite events in partnership with Social Teams and vendors; support AV setup, catering, room layouts, and other arrangements. Organize events across labels to ensure alignment.
- Contribute to wellness, DE&I, and sustainability initiatives through thoughtful workspace activations and programming.
- Maintain and actively manage the Workplace Slack channel to share updates, foster engagement, and respond to employee needs.
Administrative & Compliance
- Maintain accurate signage, safety documentation, H&S logs, and space plans.
- Track facilities budgets and processing all invoices for the workplace department
- Support audits, health & safety programs, and food hygiene compliance.
- Respond to building emergencies and be available for off-hours support as needed.
- Manage visitor registration and check-in processes using Envoy platforms.
What You Bring
- 3–5 years’ experience in a facilities, workplace operations, or hospitality-related role.
- IOSH or other Health & Safety certification preferred.
- Strong multitasking, time management, and problem-solving skills.
- Proven experience managing vendors, budgets, and workplace events and attention to detail
- Fluent in Turkish and English, both written and spoken.
- Proficient in Google Workspace and Microsoft Office; experienced with helpdesk systems and access control tools such as Lenel and Smartsheet; and familiar with communication and design tools like Slack and Canva.
- Calm under pressure, adaptable, highly service-oriented, and detail-focused.
- Apply sound judgment and effective decision-making to resolve operational issues, recommend improvements, and implement best practices.
- Communicate clearly and professionally with all levels, tailoring tone and message to different audiences.
- Navigate multiple workstreams and balance conflicting priorities effectively.
- Proactively identify issues and opportunities, driving continuous improvement in service quality and operations.
- Build and maintain strong partnerships with vendors, internal stakeholders, and global colleagues.
Work Style
- Fully onsite (Monday to Friday), with a hands-on presence required to support the physical studio.
- Occasional off-hours availability for building emergencies or event support.
