As Senior Executive Assistant at Section, you will be a core part of a fast growing edtech startup. Your duties will include liaising with both internal and external parties, organizing the CEO’s calendar, managing key administrative tasks, and leading company-wide events both in-person and remotely. In addition, you’ll work closely with the CEO and leadership team on a wide-range of need-based projects each quarter as well as assist in the video production of our CEO’s live workshops and webinars several times per quarter. This position follows a hybrid work model, with the requirement of being in-office 3-4 times a month in our Palo Alto office. This is a great opportunity for a highly organized, motivated professional who wants a lot of responsibility on a small and growing team.
What you'll do
-Taking charge of and structuring the CEO’s schedule, meetings and travel plans.
-Perform personal assistant duties for the CEO as required, including but not limited to managing personal appointments and errands.
-Act as a point of contact between executives, employees, clients, and other external partners, managing information flow in a timely and accurate manner.
-Organize and prepare for meetings, including gathering documents, creating agendas, ensuring effective communication and following-up on action items.
-Handle confidential information with discretion and integrity, understanding the sensitive nature of the executive role.
-Contribute to the planning and execution of company events and team-building activities.
-Facilitate communication and collaboration within the team, leveraging AI technology to support remote and in-office workflows.
-Spearhead the recruitment and onboarding process for new employees, ensuring a smooth transition into our team.
-Own the selection process for our Scholarships Program, ensuring a fair and thorough evaluation of candidates.
-Coordinate our company-wide bi-monthly lunch and learn sessions.
-Demonstrate a willingness to engage in projects beyond the initial scope of responsibilities, showing flexibility and a proactive approach to support the company’s evolving needs.
Who are you
-2+ years proven experience as an Executive Assistant, Senior Administrator, or similar role, preferably within a startup or fast-paced environment.
-Excellent organizational skills, with an ability to prioritize important projects and multitask effectively.
-You’re an AI power user, or are willing to learnStrong communication skills, both verbal and written, with a proficiency in managing professional communications and a keen attention to detail.
-Advanced proficiency in office productivity tools (e.g., Google Workspace, Asana, Slack) and the ability to quickly adapt to new technologies.
-A proactive approach to problem-solving with strong decision-making skills.
-Ability to work independently with minimal supervision and as part of a team.
-Commitment to maintaining a high level of confidentiality in all duties.
-Residency within a commutable distance to Palo Alto, to accommodate the hybrid work model requirements.
