Responsibilities:

  • Calendar Management: Efficiently manage complex executive calendars, schedule appointments, and coordinate meetings, ensuring optimal use of time
  • Travel Coordination: Arrange domestic and international travel itineraries, including flights, accommodations, and transportation, while considering cost-effectiveness and executive preferences
  • Communication Management: Act as a liaison between executives and internal/external stakeholders, handling emails, calls, and messages with professionalism and discretion
  • Meeting Preparation: Prepare agendas, materials, and presentations for executive meetings, ensuring executives are well-informed and organized
  • Document Handling: Draft and proofread correspondence, reports, and presentations, maintaining a high level of accuracy and attention to detail
  • Expense Management: Track and reconcile executive expenses, ensuring timely submission of expense reports and adherence to company policies
  • Project Support: Assist in managing special projects and initiatives, collaborating with various departments to ensure successful completion
  • Confidentiality: Handle sensitive information with the utmost confidentiality and discretion


Qualifications:

  • Bachelor's degree or equivalent work experience
  • Proven experience as an Executive Assistant or in a similar role (3 to 5 years)
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).Ability to prioritize tasks, handle multiple responsibilities, and meet deadlines
  • Detail-oriented with a proactive and positive attitude
  • Ability to maintain professionalism and composure in high-pressure situations
