The Role:

The Manager, Medical Assistants is responsible for leading and developing a high-performing team that provides critical administrative and clinical support to our dementia care teams. This role goes beyond day-to-day task management to drive operational excellence, optimize team workflows, and support an exemplary patient experience.

Essential Functions:

Team Leadership & Development

  • Lead, coach, and mentor a team of Medical Assistants (MAs), setting clear expectations, development plans, and performance goals.
  • Conduct regular check-ins and performance reviews to support career growth and accountability.
  • Design and deliver effective onboarding and training to ensure new team members are equipped to succeed.
  • Proactively identify skills gaps or development needs and deliver targeted coaching or training.

Operational Ownership & Optimization

  • Own the day-to-day operations of MA workflows, including chart preparation, documentation, scheduling, and coordination.
  • Identify and address inefficiencies or inconsistencies in workflows to improve speed, accuracy, and team performance.
  • Track, analyze, and act on key performance indicators, ensuring team output meets clinical, regulatory, and organizational standards.
  • Drive the implementation of new tools, templates, or processes to support team effectiveness and scalability.

Independent Decision-Making

  • Serve as the primary decision-maker for the MA team’s operations, using sound judgment to troubleshoot issues and remove blockers without reliance on escalation.
  • Collaborate closely with the clinical subject matter experts (SMEs) to identify, define, and adjust priorities for the MA workflows.
  • Prioritize and reallocate team resources in real time to meet clinical needs and volume demands.
  • Establish consistent practices for documentation, task ownership, and quality assurance.

Cross-Functional Leadership

  • Act as a liaison between Medical Assistants and clinical, patient engagement, and support teams to ensure workflow alignment and communication clarity.
  • Collaborate with peers across functions to support patient panel management, visit preparation, and follow-up coordination.
  • Represent the MA team in operational or strategic meetings and advocate for workflow needs or improvement opportunities.

Change Management & Coaching

  • Lead team through operational and process changes by clearly communicating rationale, expectations, and timelines.
  • Reinforce change adoption through coaching, documentation, and reinforcement of updated best practices.
  • Champion a culture of adaptability and continuous improvement.

Qualifications:

  • Bachelor’s degree in Healthcare, Health Administration, Business, or a related field required, or equivalent professional experience.
  • 4+ years of experience directly managing healthcare support staff, preferably in a high-volume or virtual care environment
  • Reliable high-speed internet connection required to support telehealth operations and virtual collaboration while prioritizing PHI.
  • Strong proficiency with EHR systems (Athena preferred), G-Suite, and telehealth tools.
  • Knowledge of HIPAA and clinical compliance standards.
  • Excellent analytical and problem-solving skills
  • Strong organizational, detail oriented and multitasking abilities
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team in a fast-paced environment

Pay Range Details

The pay range(s) below are provided in compliance with state specific laws. Pay ranges may be different in other locations. Exact compensation may vary based on skills, experience, and location.

Role: $75,000 - $98,000 depending on experience

Offer of employment is contingent upon successful completion of a background check, drug screen, and all required licensure, credentialing, and related documentation.
