About the Role

This is a front-of-house and office support role where you’ll be the first point of contact for guests and team members. You’ll ensure our office runs smoothly - from welcoming visitors and coordinating meetings, to managing supplies and supporting events. As one of the first members of our NY office team, you’ll have the opportunity to help shape the way we work and create a professional, welcoming, and energizing environment for everyone.

Key Responsibilities

  • Greet and welcome visitors, clients, and guests with a warm, professional manner.
  • Manage reception duties, including handling emails, deliveries, couriers and taxis.
  • Coordinate meeting room bookings and ensure spaces are prepared for use.
  • Organize refreshments for meetings (coffee, tea, water, snacks, etc.).
  • Assist with AV setup and ensure meeting equipment functions smoothly.
  • Support events, team activities, and culture initiatives.
  • Monitor and maintain stock of snacks, beverages, office supplies and merchandise.
  • Keep the office clean, tidy, and welcoming at all times.
  • Source and liaise with local suppliers and contractors, in coordination with the NY Office Manager.
  • Keep internal trackers and logs accurate and up to date.
  • Provide support on ad hoc administrative and operational projects.
  • Proactively suggest improvements to enhance the NY office experience.

About You

  • Highly organized with strong attention to detail.
  • Friendly, approachable, and professional, with excellent interpersonal skills.
  • Proactive, resourceful, and able to anticipate needs before they arise.
  • Confident managing multiple priorities in a fast-paced environment.
  • Comfortable using office tools and software (e.g. Microsoft Office, Google Workspace).
  • Collaborative team player with a positive, can-do attitude.
  • Able to work in the office daily (9am–6pm), with flexibility when needed.

Nice to Have (But Not Required)

  • Previous experience in a receptionist, office assistant, or hospitality role.
  • Interest in the tech or startup world.
  • Familiarity with AV or meeting room technology.

Salary Range:

$50-70k depending on experience
