YOUR MISSION:

As Executive Assistant to our CPO (m/f/d)* you’ll be a key force behind the smooth and effective operation of the Product leadership function at Parloa. Your mission is to streamline communication, optimize scheduling and internal workflows, and provide reliable operational support — enabling our CPO, Csaba, to focus on strategic product development and cross-functional alignment.

IN THIS ROLE YOU WILL:

• Calendar Management: Keep the CPO’s schedule on track and optimized for impact — including 1:1s, team meetings, cross-functional syncs, and strategic reviews.
• Meeting Preparation & Follow-Up: Prepare briefing materials, collect updates or context before meetings, and ensure clear documentation and action items afterward.
• Internal Coordination & Communication: Act as a liaison between the CPO and internal teams (Product, Design, Engineering, Leadership), ensuring clarity and continuity of information.
• Program Support & Project Tracking: Assist in tracking key product and cross-functional initiatives — helping maintain momentum on follow-ups, decisions, and deliverables.
• Operational Support: Manage travel logistics (when applicable), handle expense reports, and support with documentation, approvals, and other operational tasks.
• Special Projects: Take ownership of small-scale initiatives — e.g., preparing for offsites, coordinating internal events, or helping implement new team rituals.
  
  

WHAT YOU BRING TO THE TABLE:

• 1-3 years experience in executive support, team coordination, or operations, ideally in a tech or fast-paced startup environment.
• Exceptional organizational skills and ability to manage multiple priorities with a calm, structured approach.
• Proactive communication style, with the confidence to engage with stakeholders across all levels of the organization.
  Process-oriented mindset, with comfort using tools like Google Workspace, Notion, Slack, and task/project management tools.
• Fluency in English (Native Level) and German (Conversational)
• High levels of discretion, reliability, and attention to detail.
• This role requires you to work onsite at our Berlin office at least three days per week.
