About the Job
The Senior Donation Compliance Specialist (Weekends) will ensure that a critical aspect of Ossium’s work, getting suitable donors in the door, occurs smoothly. In this role, you will answer emails and calls from partner organizations when they have potential Ossium donors to screen, manage documents and data associated with those donors, and keep detailed notes on donor-related decisions. By documenting nonconformances and managing compliance with internal quality standards, you will act as a partner to Ossium’s Quality Assurance team. The work will require you to be friendly, professional, and enthusiastic during all interactions, maintain familiarity with Ossium’s donor guidelines, and be comfortable making decisions on unclear cases or with limited information. You will also be responsible for donor data management, helping Ossium to build out a robust data infrastructure and doing related projects as needed.
This role is Thursday through Monday. Willingness to be on call from 5am to 5pm on three of the five days you work will be necessary for this position. You will report to the Sr. Manager, Donation Compliance.
Required Qualifications
- A bachelor’s degree with experience working in hospital or organ procurement organization environment
- 5 years of previous experience screening organ or tissue donors at an OPO, tissue processor, or recovery partner
- May consider those with 3-5 years previous experience screening organ or tissue donors at an OPO, tissue processor, or recovery partner for Donation Compliance Specialist title
- Able to quickly and accurately review medical charts and make acceptance/deferral decisions based on detailed acceptance criteria
- Fluency with relevant medical terminology
- Comfort working in Excel and ability to learn various database packages
- Comfort with technology and learning new systems
- Familiarity with Google Workspace products
- Shows rigorous attention to detail in all work
- Ability to juggle multiple tasks in parallel and manage each to completion
- Excellent written and oral communication skills and a friendly demeanor
- Capable of operating with a high level of organization with excellent time management in a startup environment.
- Must be available to work in our San Francisco office every Thursday and Monday, remotely Friday-Sunday, and be on call 5am to 5pm 3 days per week
Preferred Qualifications
- Experience working in MasterControl or other Quality software
- RN or other medical training
Key Responsibilities
- Serve as the face of Ossium Health to partner organizations when they call or email for screening, responding to all screenings and providing on-the-spot answers or directing them to the appropriate person
- Use judgment to determine if the donor meets Ossium criteria based on written guidelines and a general understanding of Ossium’s business
- Complete incoming donor verification and documentation forms, accurately enter donor data/referrals, and notify the internal team of case acceptance
- Identify special cases and loop in relevant decision-makers only when necessary, primarily making independent decisions
- Create donor file and upload corresponding documentation, including all culture, serology, and HLA reports for donors, alerting the team as needed of abnormal results
- Respond to recovery partner inquiries and guide recovery personnel, where appropriate, on Ossium protocol
- Complete any pending donor follow-up or documentation, record donor status/closure, and remind recovery partners to cancel testing if recovery is not completed
- Complete event reports, non conformances, and corresponding follow ups
- Perform a broad range of operational work as needed such as coordinating recovery partner special projects, analyzing data to identify trends, and helping to write and update relevant SOPs
- Support training and compliance initiatives for the donor team and San Francisco office
In your first six months some projects you’ll work on include:
- Updating SOPs containing donor criteria based on changes to blood donor and tissue donor guidance
- Collaborating to design and create a new recovery partner reporting portal
- Assisting with building out the Donor team training program
- Formalizing Ossium HQ documentation and training management process
This position has a salary range of $100,000 - $125,000 annually. Ossium Health takes a market-based approach to pay. The successful candidate’s starting salary will be determined based on, but not limited to, job-related skills, experience, qualifications, and market conditions. This range may be modified in the future.
