About Nominal
Nominal is building the connected test and operations platform powering the world's most advanced hardware systems, from spacecraft and autonomous vehicles to next-generation defense programs. Our platform gives hardware engineering teams a single place to ingest data, analyze performance, automate test execution, and collaborate across every phase of development, so they can move faster without sacrificing safety or precision. We're a fast-moving team that owns problems end-to-end, works across disciplines, and thrives at the intersection of hardware and software.
We serve top-tier commercial and defense customers, from autonomy leaders like Anduril and Shield AI to next-generation aerospace teams like Hermeus and REGENT, and performance engineering teams like Pratt Miller Motorsports, alongside mission partners within the U.S. Navy and U.S. Air Force on programs where failure isn’t an option. We’re backed by Sequoia, General Catalyst, Founders Fund, Lux Capital, and Lightspeed. Our team draws from SpaceX, Palantir, Anduril, Applied Intuition, and other leading companies, united by a common mission: giving hardware engineers the tools to build the future with speed, safety, and confidence.
About the role
Nominal’s Engineering, Product & Design (EPD) org is growing fast, and we’re building a small EPD admin team to support the whole department: its leaders, its recurring meetings, and the way work gets scheduled and coordinated. As our first Administrative Coordinator, you’ll own a defined lane of that work, running day-to-day scheduling and travel for a group of engineering and product leads and keeping EPD’s planning cycles and events on track.
This role is ideal for someone early in their admin career who loves process and systems and wants to grow alongside a team that’s building something new. You’ll work closely with our admin team lead, who designs the operating model, and you’ll be the one making it run, flagging where it could run better.
🚀 What you’ll do:
- Run scheduling for a group of EPD leads, coordinating cross-team meetings across time zones and shifting priorities within each lead’s set norms.
- Schedule and support EPD’s recurring leadership meetings and quarterly planning cycles so the department’s rhythms stay on track.
- Book travel for EPD leads and coordinate logistics for offsites, team events, and in-office gatherings with our events and operations teams.
- Set up new EPD leads on calendars, recurring meetings, and admin norms during their first weeks.
- Run and refine AI-assisted scheduling and coordination routines, and check their output before it reaches a calendar or an inbox.
- Keep SOPs, templates, and trackers current, and flag repeated friction to the admin team lead with a suggested fix.
- Field admin requests from across EPD, prioritize them against each other, and communicate clearly about timing.
🔍 We’re looking for someone with
- 2+ years of administrative or coordinator experience supporting several people or a team in a high-volume environment (tech preferred).
- Strong calendar skills, including comfort with many attendees, competing priorities, and plans that change.
- Hands-on use of AI tools in your work today, with concrete examples, including times you chose not to trust the output.
- A track record of making a process easier for others, such as a template, tracker, or SOP that people kept using.
- Clear, concise writing in email, Slack, and docs that is easy to act on, since much of our team works across offices.
- Discretion with calendars, inboxes, and people matters.
- Professional maturity and a service mindset: at ease with senior leaders, steady when priorities collide, kind but clear about where a request fits, and quick to own mistakes.
⚡ Skills that supercharge us
- Experience with event logistics such as offsites, co-locations, and team events.
- Experience setting up an AI assistant or automation for others (Claude, Notion AI, Zapier, or similar).
- Experience supporting an engineering or product organization.
- Familiarity with Google Workspace, Slack, Notion, Linear, or Ramp.
✨ Benefits/Perks
- 🏥 100% coverage of medical, dental, and vision insurance
- 🏖️ Unlimited PTO and sick leave
- 🍽️ Free lunch, snacks, and coffee
- 🚀 Professional Development Stipend
- 🛠️ In-office hardware lab with a $250 project stipend
- ✈️ Annual company retreat
