The Opportunity

Your contribution will play a crucial role in managing the diary, travel and logistics of our CLO, and the Learning Team. Working in a global collaborative EA & Workplace Team, you will be responsible for organising off-site meetings, preparing documents, and engaging with business leaders and clients. This role requires a responsible, proactive and enthusiastic professional who thrives in a fast-paced environment, loves supporting others, and is passionate about growing and developing as an EA.

  • PLEASE NOTE THE WORKING HOURS: 11:00am-7.30pm (Monday to Friday) to support our US CLO and Global Learning Exec team

Key Responsibilities:

  • Diary, Travel Management and Expenses: Effectively manage the diary and travel of our Chief Learning Officer and his team, coordinating appointments, meetings, venues and events to optimise their time and productivity. Tracking and filing expense reports.

  • Communications & Document Preparation: Support in developing and distributing meeting agendas, and decks, drafting communications and collating pertinent materials and ensuring all necessary information is thoughtfully made available to participants. Confident in assigning actions, monitoring deadlines and making things happen.

  • Relationship Management: Engage adeptly with leaders, clients, and stakeholders, embodying the utmost professionalism and fostering strong, enduring relationships that reflect positively on the company. You strive to deliver a superb back-of-house service to your stakeholders, by streamlining processes, collaborating with other support execs and utilizing your people skills.

  • Task Management: Ability to plan and execute and prioritize tasks and projects efficiently. There will always be more to do than time in the day. Managing cross-cutting priorities and impact from key stakeholders will be key. Taking initiative and leading projects or tasks when necessary and assigning/delegating where best. Monitoring tasks and projects, keeping track of project progress and addressing any issues that arise. Following up with others in the Learning Leadership Team to make sure tasks are done on time, communicated and Asana updated.

About you:

  • Experience: Demonstrate a minimum of 3+ years of proven experience as an Executive Assistant, adept at supporting others in your business, improving productivity and keen to grow your skills.

  • Organizational Skills: Showcase exceptional organisation and time management skills, with a demonstrated ability to effectively prioritise tasks, handle diverse demands, and consistently meet deadlines under pressure.

  • Technical Proficiency: Exhibit proficiency in various tech platform's including Google Workspace, Asana, Coda, Zoom, Slack, and other relevant software, underscoring a strong command of in-office AV technology.

  • Communication Skills: A warm, outgoing, and approachable personality. Display excellent verbal and written communication skills, enabling confident and professional interactions with individuals across all levels, including C-Suite Executives and external stakeholders.

  • Initiative and Proactivity: Demonstrate a strong sense of initiative, able to work independently, assuming ownership of tasks and your environment. Ability to anticipate needs and proactively address challenges with a positive solutions-oriented approach.

  • Trust and Confidentiality: Uphold a strong sense of discretion, trust and responsibility, handling sensitive and confidential information with integrity and running the office to the highest of standards, with diligent attention to detail.

  • People & Culture Focused: Passionate about the workplace experience of your colleagues, with an interest in events, hybrid and optimising processes and workplace environments for engagement and productivity.

  • Proactive Learner: You thrive on finding new ways to improve efficiency and approach your work with an innovative mindset, constantly seeking opportunities to automate tasks and focus on more valuable contributions. Engaging in continuous learning and professional growth opportunities.
