Summary of Position

The Provider Liaison Coordinator is responsible for maintaining and enhancing relationships between healthcare providers and the organization. Our team of healthcare providers includes Physicians, Nurse Practitioners, Psychologists and Psychotherapists. This role ensures effective communication, resolves

provider issues, supports credentialing and contracting processes, assists with compliance and network management and scheduling. The coordinator serves as a liaison between providers and internal departments, addressing inquiries related to policies and operational procedures. As the first point of

contact for our providers, you will be responsible for providing a welcoming and professional experience for all incoming inquiries via phone, email, or online channels. You will serve as the initial representative of the company, directing queries to the appropriate departments and ensuring excellent customer service.

Essential Duties and Responsibilities

Provider Enrollment:

  • Facilitate and manage the on-boarding process of new providers by handling tasks related to credentialing, licensing and privileging.

  • Collect, verify and submit required documentation for provider credentialing and enrollment.

  • Maintain up-to-date provider records and ensure compliance with regulatory requirements.

  • Build and maintain relationships with new providers, explain scheduling, networking, payment aspects.

  • Collaborate with internal teams to support provider on-boarding and network participation

Network Management and Scheduling:

  • Develop and maintain positive relationships with providers.

  • Support network development and retention efforts.

  • Develop and manage provider schedules to ensure efficient processes and optimal utilization.

  • Collaborate with operations, medical leadership, and finance teams to enhance scheduling efficiency and streamline workflows.

  • Work closely with the finance team and coordinator to ensure accurate tracking of provider hours and timely invoice processing.

  • Support the recredentialing process for existing providers, ensuring compliance with all necessary qualifications, licensing, and documentation requirements.

General Support:

  • Provide administrative support to the provider team, ensuring smooth operations and efficient workflows.
  • Serve as a point of contact for provider inquiries, troubleshooting issues related to contracts, finance, and compliance.
  • Maintain and update provider records in internal databases, ensuring accuracy and compliance.
  • Assure that providers maintain appropriate access to systems and tools necessary for consultations.
  • Troubleshoot, triage, and resolve issues related to system functionality, or escalate to the appropriate team for resolution.
  • Provide one-on-one provider navigation coaching to improve their understanding of the system.
  • Deliver excellent customer service and support to address provider concerns and issues.
  • Be available for occasional schedule adjustments to accommodate business or provider needs.
  • This role requires a team player able to establish cross-functional collaboration with Operations, HR, Learning and Development and Finance. This role has an administrative support focus, along with continued interactions with our clinicians and providers. Your ability to work in a dynamic environment will be crucial in this evolving role.

Qualifications Expected for Position

  • Bachelor’s degree in healthcare administration, business, or a related field (preferred) or equivalent work experience.

  • 3+ years of experience in a high-volume administrative support role and/or a clinical administrative or customer-focused environment, preferably in healthcare.

  • Experience in scheduling, administrative support, and customer service roles.

  • Strong organizational skills to manage multiple tasks efficiently.

  • Excellent communication and interpersonal skills to build and maintain positive provider relationships.

  • Proven ability to collaborate effectively with clinicians and physicians while maintaining a professional and engaging demeanor.

  • Strong aptitude for quickly learning new processes and systems with attention to detail and

    efficiency.

  • Strong organizational and time management skills, with the ability to effectively prioritize tasks in a fast-paced environment.

  • Exceptional attention to detail and accuracy in data entry and record-keeping.

  • Proficiency in office software and applications, including Microsoft Office Suite.

  • Adaptability to changing priorities and ability to work efficiently under pressure.

  • Excellent written and verbal communication skills for clear and professional interactions.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Familiarity with healthcare provider credentialing and scheduling (a plus).

  • Strong teamwork and collaboration skills, with a professional and engaging approach when interacting with healthcare providers and colleague
