Summary of Position

The Accounts Payable Specialist will be a key member of the AP team as the candidate will have ownership of ensuring all supplier data is updated and maintained with accuracy and timeliness. The Specialist will work closely with the AP and Procurement departments to ensure all suppliers are properly vetted with the IRS and supplier banking details confirmed with Teladoc’s internal fraud prevention process. The Specialist will also help drive our initiative to move all suppliers to electronic payment methods. They will also share a partnership with other AP team members to own the Purchasing card program.

The successful candidate will be a respected individual contributor that internal and external business partners will have confidence in and be able to rely upon. Teladoc has grown rapidly over the past few years, so the candidate will need to be able to adapt to a fast-paced environment. However, they will bring a sense of calm and knowledge to help stabilize processes and drive for improvements.

Essential Duties and Responsibilities

  • Oversee, respond, and complete timely updates and additions of supplier maintenance request and inquiries

  • Ensure all suppliers and their associated W9 information is verified with the IRS

  • Follow fraud prevention process when calling all suppliers to confirm banking details, additions or changes

  • Be accountable for obtaining and saving all appropriate documentation during the supplier maintenance process ensuring we are SOX compliant

  • Work independently on an initiative to move suppliers from check to electronic payment

  • Partner with another AP Specialist to manage the P-card process ensuring it is completed timely and accurately

  • Assist leadership in finding efficiencies in our process while upholding the quality in our controls and standards

  • Participate in projects that involve integrations of boundary systems which feed into the AP subledger and impact supplier management

  • As efficiencies are gained, additional responsibilities could be processing invoices or assisting in research on escalated situations

The time spent on each responsibility reflects an estimate and is subject to change dependent on business needs.

Qualifications Expected for Position

  • 2-4 years of Accounts Payable, Procurement, or Supplier Maintenance experience, or advance knowledge of B2B banking transactions

  • Knowledge of either Oracle EBS or Oracle Cloud (Cloud Preferred) in the AP Subledger is preferred

  • 1+ years of Purchasing Card experience

  • Proficiency in Microsoft Office with strong working knowledge Excel functions

  • Above average analytical thinking and communication skills to convey information effectively

  • Flexibility in responding to unanticipated situations

  • A proven ability to build strong business relationships beyond the finance team

  • Ability to manage multiple tasks with strict deadlines in a fast-paced environment

  • This role will need to accommodate work that needs to be done during Central and Pacific time zones in the US, must be flexible to work during these hours

  • Ability to work in a hybrid environment (office location - ul. Chłodna 51)
