Overview

As a Recruiting Coordinator at Instacart, you’re the glue that holds the hiring experience together. You'll join our Recruiting team - a collaborative group of Coordinators, Recruiters, PMs, and People Leaders who are united in filling the seats at Instacart's table with exceptional talent. In this role, you'll partner closely with recruiters and hiring teams to orchestrate seamless interview experiences. But this job is much more than just solving complex scheduling challenges - you’ll always be thinking about how to optimize processes for human-centered efficiency and how every interaction gives each candidate a taste of Instacart. Your attention to detail, problem-solving abilities, and genuine care for people will help candidates feel informed, welcomed, and energized throughout their journey with us.

About the Job

  • Schedule, facilitate, and host phone, video, and onsite interviews in partnership with recruiters and sourcers
  • Act as the primary point of contact for candidates throughout the interview scheduling process, ensuring clear communication and a seamless experience
  • Create exceptional candidate experiences by ensuring interviews run smoothly, educating candidates about Instacart's mission and culture, and representing the company with integrity, poise, and professionalism
  • Partner closely with Recruiters, Executive Assistants, and Interviewers to coordinate complex scheduling across multiple time zones and stakeholder calendars
  • Drive ad-hoc projects that elevate candidate experience and push initiatives across the finish line, demonstrating ownership and creative problem-solving
  • Help track candidate progress from initial contact through offer, maintaining accurate data and providing visibility into hiring pipeline health
  • Coordinate and schedule airfare, hotel, and transportation for candidates visiting our offices from remote locations
  • Maintain active interviewer pools, onboard new interviewers, and manage interviewer reporting to ensure we have the right people evaluating talent

About You

Minimum Qualifications

  • 1-3 years of experience as a recruiting coordinator
  • 1-3 years of experience in a professional environment, preferably with an HR or Talent Acquisition team or in a scheduling-heavy role
  • Excellent verbal and written communication skills, with an appropriate blend of professionalism and friendliness that makes candidates feel at ease
  • Strong organizational skills and meticulous attention to detail
  • Ability to prioritize competing tasks and manage time proficiently in a dynamic, fast-paced environment
  • Proven ability to problem solve and execute solutions in a timely manner
  • Remote-eligible within the US and Canada

Preferred Qualifications

  • Experience working in Greenhouse (ATS)
  • Experience working in Modernloop or Goodtime
  • Experience working in a high-volume recruiting environment
  • Ability to be a collaborative team player who thrives when working with multiple stakeholders simultaneously
  • Flexibility to shift tasks and priorities based on evolving hiring needs and business demands
  • Process-driven mindset — someone who asks thoughtful questions and actively seeks opportunities to work smarter and more efficiently

This is a contract role starting with a 6-month contract, and must be based in EST/CST time zone.
