Role Summary

Our mission at HubSpot is to help millions of organizations grow better. As part of the Global Events team, you’ll bring that mission to life by producing HubSpot Academy Labs - our new, hands-on education program. You’ll help transform how HubSpot customers learn, by turning education into live, interactive growth experiences.

In this role, you’ll manage operational logistics, vendor coordination, and on-site execution for 15+ regional events each year (~200 people each), ensuring every detail runs smoothly and every attendee walks away inspired to grow better. This role blends operational precision with creativity, scaling a repeatable event framework that delivers consistent, high-quality learning experiences for thousands of HubSpot customers worldwide.


What You’ll Do

  • Execute end-to-end production for Academy Labs regional events, INBOUND sessions, and GROW experiences in partnership with the Lead Producer.

  • Own the customer experience by serving as the primary point of contact for attendees, managing all attendee communications, registration support, and proactive support for accessibility, dietary, or logistical needs. Resolve inquiries with empathy and efficiency, and ensure every guest feels supported from registration through event close.

  • Build and maintain operational templates, playbooks, and checklists to ensure process consistency and scalability across a high-volume event calendar.

  • Coordinate venue layouts, floorplans, and supplier logistics, including power, internet testing, load-in schedules, and equipment shipping.

  • Support site searches and venue selection by coordinating availability checks, gathering quotes, reviewing layouts and technical specs, and partnering with the Lead Producer to ensure venues meet program, accessibility, and production requirements.

  • Support management of production vendors (A/V, F&B, print graphics, furniture rentals) to ensure timely, high-quality delivery.

  • Administer registration systems (forms, landing pages, badging and credential prep) and ensure accurate attendee data.

  • Prepare and test all presentation content, simulate sessions, and provide on-site tech support and troubleshooting.

  • Handle reserved seating logistics and ensure materials meet accessibility and inclusion standards.

  • Oversee creative and branding execution, including signage, SWAG, and digital display coordination.

  • Track budgets and financials, including PO creation, contracts, and invoices reconciliation.

  • Coordinate staff logistics (travel, internal communications, security, volunteers, and temp staff scheduling).

  • Manage on-site operations: registration, check-in, customer support, and overall attendee experience.

  • Develop and update city-specific Showbooks and production docs as details evolve.

  • Maintain shipping and inventory systems for materials, SWAG, and event boxes; liaise with global warehousing teams.

  • Collect and analyze post-event feedback to identify operational improvements and efficiency gains.

  • Champion consistency—executing each event with precision, clarity, and the same high standard our customers expect.

  • Support site search and venue contracting execution partnering with the Lead Producer, Legal, and Procurement to operationalize venue selections and contract approvals.


What You’ll Bring

Required Qualifications

  • 3–5 years of hands-on experience in event production.

  • Strong organizational skills and exceptional attention to detail with ability to manage multiple events simultaneously.

  • Demonstrated excellence in customer service or attendee management at live events.

  • Proven experience coordinating vendors and managing event logistics end-to-end.

  • Familiarity with event registration platforms, CRM systems, and project management tools (ex: Asana).

  • Excellent communication and interpersonal skills with a customer-first mindset.

  • Creative problem-solving and calmness under pressure.

  • Flexibility to travel (~40%) across NAM, EMEA, and APAC (May–July peak) and work non-standard hours during event season.

Nice-to-Have Qualifications

  • Contract negotiation experience.

  • Experience with HubSpot software.

  • International event production experience.

  • Background in customer education, training events, or hands-on learning environments.

  • Exposure to B2B SaaS or technology industry events.


Where You’ll Work

  • Location: US

  • Work Type: Remote with 40% travel for events.

  • Schedule: Flexible hours required during event season and across regional time zones.

  • Travel Requirements: Several times per year across North America for onsite event execution plus occasional international travel.

Pay & Benefits

The cash compensation below includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot’s bonus plan for eligible roles. In addition to cash compensation, some roles are eligible to participate in HubSpot’s equity plan to receive restricted stock units (RSUs). Some roles may also be eligible for overtime pay. Individual compensation packages are tailored to your skills, experience, qualifications, and other job-related reasons.

Annual Cash Compensation Range:
$70,000$105,000 USD
