We’re growing 3× year-over-year, have hit multimillion ARR, and process over 60 TB of GTM data monthly. Based at our San Francisco HQ, we operate fully in-person, move fast and hire people who are ready to win.

🚀 Your Mission

HockeyStack is scaling rapidly, and we’re looking for an exceptional Executive Assistant to the CEO to act as a strategic partner and leverage multiplier for our founder and executive team.

This is not a traditional administrative role. You will anticipate needs, streamline operations, and ensure the CEO’s time and energy are focused on the highest-impact priorities. You’ll help turn strategic objectives into actionable plans, manage complex workflows, and keep the CEO and leadership team fully aligned.

You’ll operate at the center of the company, collaborating with investors, executives, customers, and partners. You should be highly organized, proactive, tech-savvy, and comfortable operating in a fast-moving, high-growth environment.

This is a high-trust, high-visibility role with direct exposure to company strategy and executive decision-making. Your impact will be felt across the entire company as you help the CEO execute with precision and scale.

🔧 What You’ll Do

  • Executive Support & Leverage

    • Act as a true partner to the CEO — managing priorities, context-switching, and execution follow-through.

    • Anticipate needs before they arise and proactively solve problems rather than just reacting to requests.

    • Ensure the CEO is prepared for all meetings with clear agendas, context, and materials.

    • Track action items and decisions to ensure nothing falls through the cracks.

  • Calendar, Scheduling & Time Management

    • Own the CEO’s calendar end-to-end — optimizing for focus, leverage, and impact.

    • Schedule complex meetings across time zones with executives, investors, customers, and partners.

    • Ruthlessly prioritize requests and protect the CEO’s time.

    • Continuously refine scheduling systems and workflows using modern tools and software.

  • Communication & Coordination

    • Serve as a key point of contact between the CEO and internal/external stakeholders.

    • Draft, edit, and manage emails, agendas, meeting notes, and internal updates.

    • Coordinate closely with the executive team to ensure alignment and follow-through.

    • Help drive clarity across the org by reinforcing priorities and expectations.

  • Operational Execution & Special Projects

    • Support company-wide initiatives and strategic projects directly with the CEO.

    • Help coordinate leadership meetings, offsites, board meetings, and investor interactions.

    • Assist with preparation of board decks, investor updates, and key presentations.

    • Leverage modern software tools (Notion, Google Sheets, Superhuman, etc.) to streamline workflows, track projects, and optimize operations.

    • Identify operational gaps and help build repeatable systems and processes.

  • Travel & Logistics

    • Manage all CEO travel logistics (domestic and international).

    • Ensure seamless planning for meetings, events, conferences, and offsites.

    • Handle expense tracking and administrative workflows with precision.

🧬 What We’re Looking For

  • 3–6+ years of experience as an Executive Assistant supporting a CEO or senior executive in a fast-paced, high-growth environment (startup experience strongly preferred).

  • Understands how a software company works at a high level — knows the business, priorities, and workflows without needing hand-holding.

  • Proactive and anticipatory — can foresee needs before they arise and act without waiting for instructions.

  • Exceptionally organized with world-class attention to detail.

  • Strong written and verbal communication skills.

  • High emotional intelligence — able to handle sensitive information with discretion and judgment.

  • Tech-savvy and adaptable — comfortable using tools like Notion, Superhuman, Google Sheets, and other modern software to streamline work and keep the CEO and team organized.

  • Comfortable operating with ambiguity and in a fast-paced environment.

  • Ability to move fast, manage competing priorities, and stay calm under pressure.

We’re building a high-performing, in-person culture at our San Francisco HQ, where the team collaborates shoulder-to-shoulder five days a week. The on target earnings range for this role is $80,000 to $120,000 USD, adjusted for location, experience, and qualifications.
