About the Role

As an Office Manager, you will ensure the smooth running our office in Santa Clara, CA. Our Office Manager oversees the internal functioning of the office, ensuring that all the people who come to the office have a good and positive experience (employees, clients or visitors). It's very IMPORTANT to highlight that for this position, we are looking for someone who is interested in coming to the office only 1 day a week. Therefore, it's expected to work for only 5 to 8 hours per week. This is important to consider when applying

About the Responsibilities

  • Manage accounts we have with vendors to ensure operations are running smoothly
  • Manage Office locations: Headquarters, WeWork
  • Researches and collects data for special projects such as possible building move furniture, outsourcing, paint of office, etc.
  • Process annual business license
  • Organize and coordinate office operations and procedures
  • Assist Sales with new vendor forms
  • Open Office
  • Greet Visitors
  • Prepare and ship new hire Welcome Gift
  • Prepare Verification of Employment letters, as needed
  • Coordinate team events and manage logistics as required
  • Assist with US employee on/offboardings
  • EDD forms
  • Purchase office Hardware
  • Purchase and manage inventory of kitchen and office supplies
  • Shipping and receiving Swag and other packages
  • Create and maintain an accurate list of who has access cards, keys, and parking permits to Headquarters
  • Screen and route incoming calls
  • Organize conference rooms and office throughout the day
  • Maintain and restock the kitchen throughout the day
  • Manage employee lunch program Job

Hard Skills or Qualifications Required

  • Experience coordinating office supplies, including stationary, hardware or anything facility related.
  • Proficient with MS Office Suite
