We are looking for an eager & energetic Executive Assistant to provide seamless coordination between CEO and our Executive team here at Envoy Global. Our CEO will rely on your expertise to prepare travel arrangements, manage expenses, and scheduling. The Executive Assistant will be capable of successfully prioritizing needs, handling matters proactively and in a timely manner to support our CEO's ability to effectively lead. This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests.

This position is located at our Corporate Headquarters office in Chicago, IL and will be on-site a minimum of 2 days per week, and during meetings as needed to support executives and Board activities.

As our Executive Assistant, you will be required to:

  • Execute a broad variety of tasks for the CEO as well as provides support to other assigned executives including managing active calendar of appointments, coordinating and booking complex travel, itineraries and agendas
  • Ensure clear communication between CEO and their Executive teams; build trust with CEO and other staff, and operate with the highest level of confidentiality
  • Compile, review and edit PowerPoint presentations in a timely and professional manner for Board Meetings, All Hands Meetings, monthly business reviews, and other meetings as required
  • Complete expense reports for all members of the executive team
  • Compose / prepare correspondence including emails, meeting agendas, summary reports
  • Coordinate and book key events and associated activities (booking facilities, restaurants, amenities, supplies etc.)
  • Work with members of the board and their executive assistants to schedule meetings, conferences, dinners, etc.
  • Meet/greet and accompany external visitors; providing refreshments and meeting materials as required
  • Manage complex and ad hoc projects to completion as assigned by the Executive team
  • Ensure the office and all conference rooms, and kitchen are clean, inviting, and meeting ready and appropriately stocked for meetings
  • Review presentations to make sure they are on brand and free of errors. Reformat presentations to make cohesive and presentable.
  • Work with IT department and Helpdesk Associates to make sure all audio/visual is working prior to scheduled meetings commencing.

To apply for this role, you should possess the following skills, experience and qualifications:

  • Bachelor’s Degree in a relevant discipline (preferred)
  • Three to five years of experience in supporting a senior executive or team
  • Professional written and oral communication skills; ability to communicate in a succinct manner to deliver messages
  • Ability to ask questions for understanding to ensure correct execution and communication
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Strong PowerPoint skills to draft and edit presentations for internal and external meetings
  • Ability to be a flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • A detail-oriented self-starter with prior experience in the financial services industry or with a technology team
  • Exhibit sound judgment with the ability to prioritize and make decisions
  • Strong editing skills and expert knowledge of English grammar
  • Comfortable interacting with high-level executives
  • Thrives in a fast-paced environment with a resourceful, can-do attitude

SALARY : USD $55,000 Min – USD $70,000 Max OTE
