About the Role:


We are seeking a proactive and detail-oriented Business Operations Specialist to join our dynamic Ambient Live & Assist Business Operations team! This role is perfect for someone who thrives in a fast-paced setting and is passionate about delivering seamless employee experiences. As a core member of our team, you will play a vital role in onboarding, credentialing, systems access management, and operational process improvement. If you're organized, tech-savvy, and eager to grow within a broader business operations function, this could be the perfect fit for you!

What You'll Do:

Employee Onboarding & Offboarding:

  • Coordinate cohort onboarding (AXBD) and provide access to essential systems including: eFront, Typing Club, Workforce Management (WFM), Trainer Portal, SCP and GCP.

  • Create onboarding datasheets and maintain internal tracking systems.

  • Issue and retrieve signed Work From Home (WFH) agreements via ClickUp.

  • Assign required courses and collect EHR credential certificates.

  • Create SFDC contact pages for new sales and expansion teams.

  • Send and manage welcome letters (AST I & II) via Dropbox Sign.

Credentialing & Form Management:

  • Manage EHR form requests, send reminders, and update stakeholders on pending items.

  • Coordinate document e-signature workflows using Dropbox Sign, including multiple template creation.

Systems Access & Troubleshooting:

  • Create and manage eFront accounts, share credentials, and assist with password resets.

  • Provide WFM support including ID creation, admin account setup, troubleshooting, and password resets.

  • Address issues with Typing Club access and functionality.

  • Troubleshoot AX Tools access and related issues.

  • Create and update access for TS candidate onboarding.

  • Revoke access for offboarded employees across systems.

Auditing & Reporting:

  • Conduct bi-monthly audits of tool access (eFront, WFM, Typing Club).

  • Maintain up-to-date records in internal trackers and documentation systems.

Portal & Profile Management:

  • Create provider admin portal profiles in Darwin Portal and Assist Portal.

Process Improvement:

  • Identify and implement improvements in manual processes to enhance efficiency and accuracy.

  • Document and standardize existing workflows to improve scalability and operational efficiency.

  • Identify, troubleshoot, and escalate operational issues to appropriate channels, ensuring timely and effective resolution.

What You Have:

  • Familiarity with tools such as eFront, WFM, Dropbox Sign, BoxSign, ClickUp, and Typing Club is highly preferred.

  • Strong attention to detail and organizational skills.

  • Excellent communication and stakeholder coordination abilities.

  • Ability to handle multiple priorities and deadlines in a remote work environment.

  • Comfortable working with confidential information and maintaining data privacy.

Good to Have:

  • Experience with Gsuite, Salesforce (SFDC), Darwin Portal, and credentialing workflows.

  • Knowledge of audit processes and compliance standards related to access management.
