Your Impact
We are seeking an Administrative Assistant to support the day-to-day operations of our Vancouver office. This is a hands-on, detail-oriented role focused on office coordination, reception, and providing general administrative support across teams. You will play an important role in creating a welcoming and efficient work environment, while supporting internal communications, travel and meeting logistics, supply management, and company-wide initiatives.
How You'll Contribute
- Greet visitors and manage front desk responsibilities, including sign-in using Envoy software
- Perform general administrative tasks such as answering phones, managing the shared inbox, and handling mail, shipping, and receiving (including items like dry ice, compressed gases, and lab supplies)
- Maintain daily tidiness of the office and kitchen areas; oversee day-to-day office operations
- Coordinate with vendors for office services, housekeeping, and minor repairs
- Monitor and order office and kitchen supplies to ensure inventory is well stocked
- Book travel arrangements and coordinate internal and external meetings
- Support company-wide initiatives including events, internal communications, onboarding, and employee engagement activities
- Liaise with on-site security personnel to help ensure the safety and security of the facility
- Handle confidential information with discretion
The Skills You Bring
- High school diploma or equivalent, with at least 2 years of administrative experience in an office environment where flexibility, prioritization, and strong interpersonal skills have been gained
- Strong communication and interpersonal skills
- Excellent organizational skills and the ability to prioritize and multitask
- Proactive mindset with the ability to adapt in a fast-paced, dynamic environment
- Proficiency in Microsoft Office, including Word, Outlook, and Excel
- Willingness and ability to learn new tools and systems
